Engaging Science Grants frequently asked questions

Please read all information for Engaging Science Grants as well as the frequently asked questions when preparing an application.

Eligibility

  • What does it mean to be Queensland-based?

    For an applicant, Queensland-based means the Australian Business Register must designate the organisation’s main business location as Queensland.

  • I am not Queensland-based but want to run my activity in Queensland. Am I eligible?

    To be eligible you will need to partner with a Queensland organisation to deliver the activity, project or event, and that organisation should be the lead applicant. Collaboration with other organisations is highly regarded.

  • If I am an existing Queensland Government grant recipient, am I still eligible to apply?

    Yes, however, the applicant must demonstrate that any cash contribution towards the engaging science project, event or activity is not sourced from existing Queensland Government grant funding.

  • Can a Queensland Government organisation or employee apply for a grant?

    Yes, the grants are open to all Queenslanders and Queensland-based organisations according to the eligibility criteria listed in the guidelines and in the ‘Who can apply’ answer above.

  • Can I apply for more than one grant?

    Yes, however, the grant must be for a different project, event or activity or to repeat the project, event or activity at a different date e.g. a National Science Week event in 2017 and 2018. If repeating an activity, evidence of its success will be important.

    Applicants must complete approved funded activities before submitting follow-on applications.

  • Can a school student apply for a grant?

    No, school students need to make an application via a teacher at their school.

  • Can I use the grants to buy equipment?

    Yes, equipment may be purchased using the funds for the purpose of the science engagement activity. The equipment purchased must be solely used for this activity. If you think the equipment would be used for other purposes (in addition to the proposed science engagement activity) then you need to proportion the funding according to use. For example, if you wanted to buy a 3D printer and laptop to support a science engagement activity but it will also be used for classroom teaching for English for half the time, you should fund half of the costs yourself.

Assessment

  • How will grant applications be assessed?

    Applications will be assessed:

    • through a competitive, merit-based process, against the program’s assessment criteria
    • by a panel of assessors with relevant scientific, research and/or engagement and communication backgrounds.

Application

  • Is there flexibility for projects, events or activities that are time dependent?

    Yes. The online application form allows you to indicate that your event or activity is time dependent and therefore will be assessed out-of-session.

    You must submit time-dependent applications at least 6 weeks prior to the proposed event/activity, to ensure the panel has enough time to assess the application.

  • When will I be notified of my application outcome?

    You will be notified approximately 4 weeks after the finalisation of assessment. High volumes of applications may result in longer assessment timeframes.

  • What questions will be asked on the application form?

    An example application form (PDF, 675KB) is available, outlining most of the questions asked.

  • Can I save my application while in progress?

    Yes, however your partially completed form will only remain available for 3 days. Once saved, the form will indicate the date and time which your application will remain available for you to finalise and submit your application. If it is not resaved or submitted after this time, it will be permanently deleted.

  • Can I revise my application after lodgement?

    No, however you must advise the department of any changes which are likely to impact on your eligibility.

Funding

  • When is the grant funding paid?

    Two payments will be made:

    • 70% to successful applicant’s organisation following assessment
    • 30% on completion and acceptance of a short report (a template will be provided) with supporting project evaluation and financial documentation (receipts e.g. venue hire, catering).
  • Are grant payments subject to GST?

    Yes, all applicants must have an ABN but do not necessarily have to be registered for GST.  The grant amount (up to $10,000) excludes GST, however the grant payments will include GST if registered for GST.

  • Can I apply for funding support for an activity that has already commenced prior to this application?

    No. Only activities which commence after the agreed project commencement date will be funded.

Terms and conditions of the grant

  • Are the terms and conditions negotiable?

    No, the applicant will be bound by the terms and conditions, which form part of the application and guidelines.

    Please ensure you have read and accept the terms and conditions prior to submitting an application for funding, as they will not be negotiable at the time a funding offer is made.

  • If I am successful, am I under an obligation to acknowledge the Queensland Government’s support?

    Yes. You will initially be asked to keep the details of your grant confidential until it is announced officially by the Queensland Government but after announcement you will be required to acknowledge Queensland Government support. Acknowledgement wording and logo will be provided to successful applicants.

    Applicants should note that broad details of successful proposals, agreed outcomes, progress and the level of funding awarded may be published by the Queensland Government. Some information may be used to promote funded projects and applicants may be requested to contribute to case studies and/or other promotional material on success.
